iFlow 4.5- Automatic generator for the working schedule

It’s time to launch the 4.5 update! Find out from this article what the new functions are and what improvements the update brings. Among the primary functionalities of iFlow 4.5 is the work schedule generator, two-steps authentication and the possibility to subside time interval events from the timesheet.

Work schedule generator

Although this feature is in Beta version, it shortens the time spent with the assignment of the work schedule. Instead of doing the planning manually, you can create work schedule templates and with just one click, choose the work schedule and the period for which it is to be allocated for a certain employee.

It works like a charm even with complicated scheduling, for example the ones with a work schedule that’s different every week. Well, now you simply create the template once, and subsequently assign it to the employee. The rotation of work shifts is done automatically on the time period you select. Here you can find examples of work schedule templates and the steps to make the correct settings. 

Besides this work schedule generator, we brought other improvements in the Work Schedule panel. These are:

  • The possibility to assign the work schedule to several teams at once
  • We added the “Undo” and “Redo” buttons
  • The toolbar with the hours you selected is now sticky, meaning that it follows you on page while you are editing the work schedule, to help you make a correct plan.   

Advanced security with two-step authentication

We take the protection of personal data seriously, and following the feedback we got from the iFlow customers, we decided to increase the security measures of your iFlow account. 

From now on, you can activate the two-step authentication from your profile. Find here all the steps for activation and usage. It’s pretty simple, you scan a QR code and use the automatically generated code each time you log in to the application.

In addition to the two-step authentication, we modified the password requirements, and this must contain a minimum of 8 characters including letters, numbers, and special characters.

Subside time interval events from the timesheet

The time interval event subsided from the total worked hours proved to be extremely necessary for many companies. Due to this functionality, you can create a new type of hourly events, that will be deducted from the total worked hours. One example is the Leave event- Medical reasons or Leave- Personal reasons. 

Now you can display the time interval events in all reports and you can set them to subside the time interval on which it stretches, from the employee’s total worked hours. For example, there are two types of leave events in the company, the ones that you subside from the salary, and the ones that are not subsided from the salary but will be recovered. In iFlow, you can create another leave event type that can be individually tracked in reports for clear evidence. 

New permissions for users

We are carefully listening and trying to follow our clients’ suggestions, thus we are working on the user permissions side and we will add even more options in this area.

The new options in this update are:

  • Permissions to edit projects –  you can grant access to users to edit projects or create them at the time of clocking in, etc. Find more details about this function, here.

Useful for: You can set by user categories who has the right to create and edit the company projects. For example, you can choose to allow only team leaders to create projects. 

  • Permissions to view the added files– this option offers you the freedom to choose who can view the files added by employees by events. 

Useful for: You can add the payslip right in the app, and this will be visible only for the admin and the employee it was assigned for. 

Other improvements and fixes 

Because nothing is perfect and because mistakes only happen when you are working, we fixed the different small issues pointed to us by the app’s users, to whom we thank for sending us messages.  

  • The profile picture and the menu underneath follow you on page
  • We fixed the alphabetical order in the timesheet report
  • We fixed the filters in the paid leave report
  • We fixed the e-mail notification for the events “Business trip” and “Compensatory time”
  • We fixed the app notifications for expired contracts.

  • From now on you can plan the work schedule fast and easy with the work schedule generator, in addition to the improvements from this panel
  • You can activate the two-step authentication from your profile
  • Create events on time interval that will be displayed with a symbol, and will be subsided in the timesheet, will appear on the Monthly Attendance, and modify the check-in/check-out times on it depending on the time interval on which they extend
  • There are special permissions for viewing files and editing projects
