User’s workload quota in iFlow

In the app, it was added the possibility to set the workload quota of each user. There are 2 simple ways of setting it. You only need to do a few steps in order to enjoy calculations in your timesheet.

Step 1 – Setting the user’s workload quota

You can set the workload quota manually or by using the import/update file. Below, you can find the steps for both ways.

Setting the workload quota manually:

  • In the employee’s profile, click on Settings, near the Profile button
  • At the end of the page, near the employment the intervals, click on the workload quota box
  • Choose the workload quota
  • Click on Update information

Setting the workload quota by using the import/update file:

  • Either if you are adding the employees for the first time or if you are updating their information, you only need to complete the workload quota, in the specific column.
  • From the Employees menu
  • Select Import employees from the submenu
  • Click on Update (if you already added the employees in the app) or Import
  • Complete or edit the file
  • From the same menu, click on Upload template
  • Choose the file and click on Open
  • The app will let you know how many employees will be imported or updated and that the login credentials will not be modified
  • Click on Import

Step 2 – Setting events with a workload quota

To have correct calculations in the timesheet, based on the workload quota, you will need to make a setting for the events. Read the steps below.

  • From the Settings menu
  • Event types
  • Click on the Edit button
  • Choose a choice from the Event calculated based on the hours from:
  • Working days workload (the event will be calculated only for working days from Monday to Friday, weekends and holidays are excluded)
  • Daily workload (the event will be calculated for each day it is added)
  • Work schedule (the event will be calculated based on the working schedule set for the days when it is added)
  • Click on Save

Step 3 – Setting the work schedule based on the workload quota

You create shifts for each workload quota, you can find the steps here. You will allocate each shift to the employees based on their workload quota. You can find the steps about how to set the work schedule here.

For quick and correct planning, complete the workload quota for each employee in the note box. The most simpler way is to download the update file and complete the information for everyone in the note column. Upload the file and you will see the workload quota under each employee in the Work schedule panel.

Extra explanations

Working days workload – with this setting the app will calculate the number of hours of the user’s workload quota for the event. The working days, in this case, are from Monday to Friday, the weekend and holidays excluded. This setting is the best fit for Paid leave or any other event that works as a paid leave.

Daily workload – with this setting the app will calculate the event based on the workload quota for each day, even if they are weekends or holidays. For example: if the employee has a 6 hours workload quota, and you selected the daily workload for the Work from home event then if the employee adds it at the weekend, in the timesheet you will have 6 hours on weekend days.

Work schedule – this setting will make the event take into consideration the work schedule, not the workload quota. This is a good fit for events that are not dependent on workload quota.
